Position Summary:

We are seeking a reliable and organized Administrative Assistant to support daily operations at our Belle Fourche location. This role is critical in maintaining communication with vendors, processing financial documentation, and assisting various departments with administrative needs. The ideal candidate is detail-oriented, self-motivated, and comfortable working in a dynamic industrial environment.

Responsibilities

Key Responsibilities:

Administrative & Clerical Support

  • Submit invoice batches and ensure timely processing of vendor payments
  • Record and organize financial statements and payment documents
  • Answer incoming calls and assist suppliers with payment status or account inquiries
  • File, scan, and maintain physical and digital records
  • Research payment details, invoice dates, and banking information as needed
  • Manage new supplier applications and process updates (e.g., banking, address, and email changes)

Cross Department Coordination

  • Communicate with other departments regarding accounts payable needs
  • Provide support to employees and departments with administrative tasks as requested
  • Maintain and update equipment utilization and maintenance records

Qualifications

 

 

Qualifications:

Required:

  • Strong computer skills, especially in Microsoft Outlook, Excel, and Word
  • Excellent communication and organizational skills
  • Ability to manage multiple tasks with accuracy and efficiency
  • High level of integrity and professionalism when handling sensitive information
  • Read, write, speak and understand English

Preferred:

  • Prior experience in administrative or financial support roles
  • Familiarity with vendor and supplier communications or invoice processing
